Yubikey - Office365 Registration
IMPORTANT - Please read before setup: Put in a work order in to track who is receiving a Yubikey throughout the District. Due to the complicated nature of the setup of this device, TSS's should assist the user with setting up the device. MFA must be set up using a phone number, application, or text message before setting up a Yubikey. Failure to do so will not allow you to register the Yubikey for the user. Please contact Information Security if you have any questions or need assistance with setting up the device. To setup your YubiKey for Office365, please follow the steps below: Step 1 - Verify and Access your Office 365 Account Open a browser window using Chrome, Microsoft Edge, or Firefox. Ensure that you are signed out of all non-NNPS accounts. Navigate to the following link - Office365 - My Account If you have signed in before you will see an account selection window, select your account if prompted. Enter your NNPS email address (example: chris.p.bacon@nn.k12.va.us) if asked. Enter your password and click sign-in Select Security Info in the left navigation OR Update Info in the Security Info tile on the My Account Page. Step 2 - Add a YubiKey as a security method Select Add Method from the Security Info Menu Note: If you do not alreadyhave one method registered you will be required to register an alternative method, such as the Authenticator app or Phone, before adding a security key. Follow the steps for adding an alternative method first, then click Add method again. Select Security Key, then click Add. Select USB device from the Security key menu. Select Next to start the registration process. If prompted, click Continue or Ok in the browser prompt to acknowledge the record of you visiting Microsoft.com will be recorded on your YubiKey. This information is only readable by you and Microsoft, no other services will be able to read this information. Insert your Yubikey into a USB port on your computer. Touch your security key when prompted. Your YubiKey should start blinking. Touch the button or the gold-colored edge. Yubikey 5 Nano (USB Type A)Yubikey 5C Nano (USB-Type C) Enter the PIN code for your Yubikey (i), if there is not a PIN code on the YubiKey you will be prompted to create one (ii). This PIN code only applies to this YubiKey and is not transmitted to Microsoft or any other YubiKey. Tap the flashing sensor on your Yubikey to continue. If prompted, click Allow to send Microsoft the model of the YubiKey used, there is no personally identifiable information sent. Type a unique name for this YubiKey then select Next. It is recommended to use a name that is meaningful to easily know which YubiKey it is, such as “YubiKey 5C NFC wallet”, or “YubiKey 5 nano backup”. This will be helpful if you ever lose a YubiKey and want to remove it from the account. Select Done to complete the registration process. You have now successfully set up your Yubikey.

Office 365 - Setup MFA with Text Messages
To enhance the security of our systems and protect sensitive information, we will be implementing a new security feature called Multifactor Authentication (MFA) on your Office 365 / Microsoft account. This article outlines the process of setting up MFA on your Office365 account using SMS/Text Message as the primary authentication method. 1. Navigate to Office.com 2. Click on Sign in Click on the Sign In button on the upper right-hand corner of the website. 3. Enter your email address Type in your full NNPS email address in the highlighted box. 4. Click on Next 5. Enter your password Type in your password in the highlighted box. 6. Click on Sign in 7. Continue to MFA setup Click on next to begin setting up MFA on your account. 8. Select your Authentication Method To set up your account using SMS/Text Message, click on the highlighted link on this page. 9. Click on Choose a method 10. Click on Phone 11. Click on Confirm 12. Enter your Phone Number Type in the phone number that you would like to use in the highlighted box. The area code is required. 13. Click on Next to confirm your phone number 14. Grab your Cell phone On your phone, navigate to your Text Messages to view the code sent by Microsoft. 15. Type in the code from the text you received in the highlighted box. 16. Click on Next 17. Click on Next to confirm your phone registration. 18. Setup Complete You have completed the setup of MFA using your SMS/Text Message as your primary authentication method. Click Done to complete your setup.

Office 365 - Setup MFA with Microsoft Authenticator
To enhance the security of our systems and protect sensitive information, we will implement a new security feature called Multifactor Authentication (MFA) on your Office 365 / Microsoft account. This article outlines the process of setting up MFA on your Office365 account using Microsoft Authenticator as the primary authentication method. 1. Navigate to Office.com 2. Click on Sign in Click on the Sign In button on the upper right-hand corner of the website. 3. Enter your email address Type in your full NNPS email address in the highlighted box. 4. Click on Next 5. Enter your password Type in your password in the highlighted box. 6. Click on Sign in 7. Continue to MFA setup Click on next to begin setting up MFA on your account. 8. Select your Authentication Method To set up your account using Microsoft Authenticator, you will need to download the Microsoft Authenticator App on your phone. Click the "Download Now" button to receive instructions on how to download and setup the application for your device. Remain on this page while you install the software on your mobile device. 9. Open the Microsoft Authenticator app, select to allow notifications (if prompted), select Add Account from the Customize and Control icon on the upper-right, and then select Work or school account. Note: The first time you set up the Microsoft Authenticator app, you might receive a prompt asking whether to allow the app to access your camera (iOS) or to allow the app to take pictures and record video (Android). You must select Allow so the authenticator app can access your camera to take a picture of the QR code in the next step. If you don't allow the camera, you can still set up the authenticator app, but you'll need to add the code information manually. Instructions for manual setup are located here - Link 10. On your computer, you will be shown a QR code; scan this with your mobile device to link the app with your NNPS account, then click Next. 11. After the QR code is accepted by the app, Microsoft will send a test authentication request. Click Accept on the app notification to complete the test and setup. 12. Now you've set up the Authenticator app. It is strongly recommended that you add an additional MFA method. Click "Done" to finish the setup

Microsoft Authenticator - How to Use One-Time Password Code
NOTE: You will need to install the Microsoft Authenticator app and add it as a security method prior to following the steps below. Follow the instructions at this link to learn how to add the Microsoft Authenticator as a security method: Link You may find yourself in a situation where you have a weak signal to your cell phone and cannot receive notifications. You can use Microsoft Authenticator’s One-Time Password code feature for those situations. Log into your Microsoft application (office.com) When presented with the MFA prompt, choose “I can’t use my Microsoft Authenticator app right now.” From the list, choose "Use verification code from my mobile app" Launch the Microsoft Authenticator app on your mobile device and tap your account: Locate the one-time password code: Enter that code into the prompt on your browser and click verify: You will now be brought to the Office365 home page, where you can access your documents, email, etc.

Enable MFA on your Google Account Navigate to the How you Sign in to Google section on this page. Click on 2-Step Verification section to begin setting up MFA on your account. Click the Get Started button to setup your 9. Enter your phone number. Type in the phone number that you would like to use in the highlighted box. The area code is required. Click next at the bottom of the screen. 10. Grab your phone On your phone, navigate to your Text Messages to view the code sent by Google 12. Type in your verification code Type in the Verification code that you received from Google. You do not need to include the “G-“ in your code. Click Next to continue. 13. Enable 2-Step Verification Click on the Turn On button to finish the setup process.

This guide outlines the process of setting up MFA on your Google account with Google Authenticator as an authentication method PLEASE NOTE: To Setup Google Authenticator, you must have another form of MFA already enabled. 1. Navigate to Google.com 2. Click on Sign in Click on the Sign In button on the upper right-hand corner of the website. 3. Enter your email address Type in your full NNPS email address in the highlighted box. Click the Next button to continue. 4. Enter your password Type in your password in the highlighted box. Click the Next button to continue. 5. Click on the User Icon You are now signed in. Click on the user icon on the upper right hand corner of the page to open your account settings. 6. Click on Manage your Google Account Click on the Manage your Google Account button to access your account settings. 7. Click on Security On the left side of the page, click on the Security button to access the security settings for your account. 8. View MFA Settings on your Google Account Navigate to the How you Sign in to Google section on this page. Click on the Authenticator button at the bottom of this section to begin setup. 9. Download the App from the App Store Download the Google Authenticator app from the Google Play Store or the iOS App Store. 10. Click the Setup Authenticator Button 11. Grab your phone On your phone, navigate to your Google Authenticator App. In the App, click the + button in the bottom right hand corner and choose Scan a QR code. 12. Scan the QR code Using your phones camera, scan the QR code that is shown. Click Next to continue once the code has been scanned. 13. Enter Code Displayed within the App Verify the code that is presented to you in the Google Authenticator app. Click the Verify button to complete the setup.

Click the Next button to continue. 4. Enter your password Type in your password in the highlighted box. Click the Next button to continue. 5. Click on the User Icon You are now signed in. Click on the user icon on the upper right hand corner of the page to open your account settings. 6. Click on Manage your Google Account Click on the Manage your Google Account button to access your account settings. 7. Click on Security On the left side of the page, click on the Security button to access the security settings for your account. 8. View MFA Settings on your Google Account Navigate to the How you Sign in to Google section on this page. Click on the Passkeys and Security Keys at the bottom of this section to begin setup. 9. Click the Use a Security Key button 10. Configure where to save the Passkey Windows will prompt you on where to save your passkey. Select Security Key from the menu and click next. 11. Confirm Security Key Options Verify that your email address correct within the prompt, then click Ok. On the next Prompt, click OK to let Google see information about your YubiKey. 12. Insert the Yubikey into the USB port of your computer Insert the Yubikey into the USB port on your computer with the Gold Y facing up. Do not force the key into your USB port, as it may damage the key or your device. 13. Enable your Key When prompted, touch your security key. Depending on your model, Touch the button or the gold-colored edge if it is blinking. Confirm that your passkey is saved. Click Ok. Verify that the New Security Key has been added to your account.
