Clever Login Instructions
Clever enrollment files are generated via a nightly automated rostering sync from Synergy SIS. Teachers or school staff DO NOT create students accounts nor create classes. Students are enrolled, transferred, and withdrawn automatically based on this automated feed. Follow the below protocol when experiencing instances related to enrollment or in-system technical issues. New or Transfer Students Newly enrolled students will be automatically enrolled in the Clever rostered learning system once scheduled in Synergy SIS. There is a nightly process to update accounts/classes. If a new student is not displayed as rostered in a system nor has access, check Synergy schedules to ensure enrollment. If the student is not scheduled in Synergy, contact your school's Assistant Principal/Scheduler. Once the student is scheduled, provide at least 1- night for the sync to process the new account and class assignment. If the new/transfer student is scheduled in Synergy and cannot access Clever, please submit a work order to the Onlinelearning.help@nn.k12.va.us. Dropped Students A student who withdraws from the school will be removed from Clever and the corresponding learning system with the nightly automated sync. When a dropped student is withdrawn from Synergy, please allow at least 1-night for the sync to process the scheduling adjustment. If the student was withdrawn in Synergy but not removed from their learning system after a prolonged period of time, please submit a work order to the Onlinelearning.help@nn.k12.va.us. Section Updates & Staff Assignment Changes Any school section updates - such as room change or primary teacher of record change - will be automatically adjusted within Clever and the corresponding learning system once the appropriate update has occurred in Synergy SIS and sync is processed. If a section adjustment is not made in Synergy, Clever will not be adjusted. Collaborative Teachers Collaborative teachers, or any non-primary-teacher-of-record, are not automatically provided Clever access nor tied to classes. If access to a learning system in Clever is required, these teachers will need to be manually added in Clever and tied to the corresponding class as a "co-teacher". Submit this request to the Onlinelearning.help@nn.k12.va.us. All Other Enrollment/System Questions Please send all other Clever, enrollment, and learning systems questions to Onlinelearning.help@nn.k12.va.us.

Assign Online Learning Course in WELNET
Teachers will access WELNET from their Clever Portal. In order to assign Online Learning course content to a rostered class section, teachers must complete the following steps. Step 1: From the WELNET Dashboard, navigate to the Online Learning module and click "Assign". Step 2: Rostered class sections teachers have access to will show up automatically. If assigned many classes, use filters to refine the search by choosing school, teacher, level or grade. NOTE: teachers should NOT create new class sections with student rosters - and should only use class sections rostered/assigned to them via the Synergy SIS > WELNET sync. Step 3: With the appropriate class sections available, choose the Online Learning course to associate with the class. Enter the required start and end dates for the course. These dates should correspond with the Term Begin and Term End dates Step 4: With the course selected and the class section checkbox toggled, click "Create Classes". A new browser tab will open for the course creation process to complete. This process may take several minutes depending on the number of classes selected and amount of course content associated. Once completed, the screen will display a "class creation completed" message. Close the browser tab once this message appears. Classes that have been assigned an online course will appear under the Online Learning "Manage" screen.

Seesaw Family Sync: Teacher FAQ
What is Seesaw/Clever Family Sync? How does it work? How often does it happen? With Clever Family Syncing, parents are sent an invite to connect to new students they have not connected to before. If they do not have an account yet, that invite will also take them through the steps of setting one up. However, if there are parent accounts that are already connected, then they will not need to accept a new invite. As a Teacher, should I manually send Seesaw invitations to the family? Teachers do not need to send out family invites since synced via Clever. What happens when Families have not responded to invites? We want to encourage families to find their Seesaw invite within their email/text messaging app and set-up their account, avoiding any potential account duplication issues. We recommend that teachers do not send home a QR Invitation. What should I do if custodial parents did not receive an email notification? This might be more than a custodial problem as it relates to how the parent account is set-up in Synergy SIS. However, with parent/guardian sharing through Synergy > Clever, enrollment rights are picked up from the SIS. A record’s “Release To” field is hard-coded in the query to prevent guardian inclusion for rostering on students who are “not allowed to be released” to the individual. In this case the parent/guardian wouldn’t be shared to receive a Family Member account. The teacher should not try to invite any parent/guardian without these rights displayed in Synergy. Please provide an example to onlinelearning.help@nn.k12.va.us for us to review. What should I do when the parent says they have not received an invite? If a family member reaches out about an issue with connecting to Seesaw, check the “Invite Families” section under your Class Settings to investigate their current access to Seesaw. You can also select the (+)Families button for quicker access to this information. Below are several examples of what you may see next to contact information in this section as well as sample communications you can send to families in response to their request for support in connecting to Seesaw. For Email Addresses: If you see: Send this reply to your family member: Hello! Based on the information I see in our Seesaw class settings, you need to complete your sign up and connection to Seesaw. If you are unsure of your password, select Forgot Password? and a reset password email will be sent to you. If you see: Send this reply to your family member: Hello! Based on the information I see in our Seesaw class settings, there is an error in the email address provided at the time of registration. Please reach out to the main office for support in correcting your email address in Synergy. After this change has been made, please allow time for our system to sync and update overnight before attempting to complete your sign up and connection to Seesaw. Login using this email address: [insert corrected email address listed in Seesaw] . If you are unsure of your password, select Forgot Password? and a reset password email will be sent to you. For Phone Numbers: If you see: This is likely to happen if an existing account is “found” but could not be updated. The phone number syncing issue has been resolved and accounts are now able to mapped/synced. This most likely corrects this problem if that is the cause. Email onlinelearning.help@nn.k12.va.us so they can verify the family's connection and they will send you a direct link for you to share with your family to connect to Seesaw. Send this reply to your family member: Hello! Based on the information I see in our Seesaw class settings, you need to complete your sign up and connection to Seesaw. Please click the link below to finalize the connection in Seesaw Family. [insert link sent by Online Learning Services] What should I do if a family member is connected in Seesaw, but they lose custody within Synergy? Family members will remain connected in Seesaw even if they are removed from sharing in Clever. They can be removed manually from Seesaw if their access is not warranted. In this case, please email onlinelearning.help@nn.k12.va.us including exactly who should not have access, and we will manually remove them from the platform. If you're still unsure how to proceed, please email onlinelearning.help@nn.k12.va.us for assistance!
